Photos and photographer

Add and order a listing's photos, register a photographer in the agency's list and let the seller choose their photo appointment.

Photos are managed on the listing's record (Properties and mandates › Listings). Photographers and other service providers are in Organisation › Service providers.

Adding photos to the listing

  1. Open the listing, Photos section.
  2. Click Add photos and choose one or more photos.
  3. Wait until the upload is finished (“Uploading: n of n”).
  • The photos are sent one by one, in the order chosen. A refused photo does not stop the following ones: each refusal is listed with its file name.
  • While a photo is being processed, it shows “Processing…”.
  • The displayed and published versions of each photo are free of hidden information: no GPS position, no camera, no date.
RuleMessage shown

60 photos at most per listing“The listing has reached 60 photos.”
Not the same photo twice“This photo is already in the listing.”

Ordering the photos

Under each photo:

  • Move forward and Move back move it by one place;
  • Use as cover puts it first. The first photo carries the “Cover” label: it is the one shown in lists;
  • Delete photo removes it.

The service provider list

The Service providers page lists the agency's service providers: photographers, EPC assessors, land surveyors, notaries…

  • The whole team can consult the list.
  • Adding, setting up or deactivating a provider, or consulting the directory, requires the “Work settings” right (the administrator and the manager have it by default). Without this right, the page shows “Read only: only the administrator and the manager add and set up service providers.”.

Adding a photographer

  1. In the Add a service provider card, enter the Name and the E-mail (required), and if needed the Phone.
  2. In Trades, leave Photographer ticked (tick other trades if needed).
  3. Click Add and invite.

What happens next:

  • the message “Service provider added: their invitation has been sent.” is shown;
  • the provider receives the email “… invites you to ImmoBooking”, with the Choose my password button. The link is valid for 7 days;
  • their line shows “Invitation pending”, then “Account active” once they have chosen their password;
  • if they already work for another agency on ImmoBooking, they are simply linked to yours.

If the invitation has expired, click Resend the invitation.

Setting the photographer's availability

  1. Click Settings on the photographer's line.
  2. Set the Viewing hours: a day, a start time and an end time per time range (Add a time range, Remove).
  3. Set the Length of a session (minutes), the Buffer before and after (min), Book at least (hours ahead) and Offer up to (days).
  4. Click Save.

By default: Monday to Friday from 9:00 to 17:00, 90-minute sessions, a 30-minute buffer, 24 hours ahead, over 21 days.

Deactivating a provider

Click Deactivate: they are no longer offered. Reactivate puts them back into service.

Finding a provider in the directory

  1. Open Find a service provider.
  2. Filter by Trade and by Province. The directory lists the providers checked by ImmoBooking, with their average rating.
  3. Click Add to my list.

The photo appointment, from the mandate

Once the mandate is signed, step 6 of the mandate shows the Photo appointment card. It is designed to be shown to the seller on the tablet.

  1. The seller chooses a time among those offered: up to 5 times per photographer, 2 per day at most.
  2. Click the chosen time.
  3. Confirm: “Photos on … with … The photographer and the seller will receive an e-mail.”.

What happens next:

  • the card shows “Photos planned on … with …”;
  • the photographer and each seller who has an email address receive the confirmation by email;
  • a reminder email is sent to them the day before;
  • Cancel the appointment cancels it and notifies them by email.

The rules:

  • only one appointment at a time per mandate;
  • the appointment is optional: without an appointment, the agency adds its photos itself;
  • if the agency has no active photographer, the card shows “The agency has no photographer yet: photos can be added on the listing.” and the Add a photographer link;
  • if someone else has taken the time in the meantime: “This time was just taken: choose another one.”, and the list reloads.

What the photographer does

The photographer signs in to the workspace with their email address. They only see My requests and My photo appointments.

  • For each appointment, they see the date and time, the property's address, the agency, and the sellers' name, phone and email. They never see the price, the commission or the rest of the file.
  • After the session, they click Upload photos (JPEG or PNG) on the appointment. WebP is also accepted.
  • Their photos go straight into the listing's Photos section, after those already there, with the same rules (20 MB, 60 photos, no duplicates).
  • They cannot upload to a cancelled appointment.

Other service providers, from the mandate

For an EPC, an electrical inspection, a survey, a land surveyor, a notary or a photographer, you can also send a request from the mandate's summary, as long as it is a draft, being signed or signed.

  1. Open the mandate's summary, New request section.
  2. Choose the Trade (only the trades present in your list are offered), then the Provider.
  3. If needed, add a Message to the provider (optional).
  4. Tick the box confirming that the seller agrees to their contact details being passed on.
  5. Click Send the request.
  • The provider receives the address, what their trade needs to know about the property and the seller's contact, never the price or your fees.
  • The request goes through the statuses “Sent”, “Accepted”, “Declined”, “Quote received”, “Quote accepted”, “Quote declined” or “Cancelled”.
  • When a quote arrives, click Accept the quote or Decline.

Quotes are detailed in Service providers and quotes.
