Service providers and quotes
Keep the agency's list of service providers, send them a request from a mandate, then accept or decline their quote.
The list is in Organisation › Service providers. Requests are made from a mandate's summary.
The list of service providers
The list brings together your agency's service providers: photographer, EPC assessor, land surveyor, notary…
- The whole team can consult it.
- Adding, setting up, inviting and searching the directory require the “Work settings” right (the administrator and the manager have it by default; see The team, roles and rights). Without this right: “Read only: only the administrator and the manager add and set up service providers.”
Adding a service provider
- In Add a service provider, fill in Name, E-mail and Phone.
- Tick their Trades (at least one, at most five).
- Click Add and invite.
What happens next:
- their account is created and they receive an invitation by e-mail, valid for 7 days: “Service provider added: their invitation has been sent.”;
- they appear in the list with the “Invitation pending” badge, then “Account active” once the invitation has been accepted.
The trades: Photographer, EPC assessor, Electrical inspection, Surveyor (asbestos, tank…), Land surveyor, Notary, Mortgage broker, Bank, Insurer, Removals, Renovation, Architect, Contractor.
On each service provider:
- Resend the invitation if it has not been accepted;
- Deactivate: they are no longer offered (“Service provider deactivated: no longer offered.”); Reactivate makes them available again;
- Settings: change their trades and, for a photographer, their appointment slots and the length of a session (see Photos and photographer).
Finding a service provider in the directory
The Find a service provider card searches the ImmoBooking directory: professionals whose company number and licences have been checked.
- Choose the Trade and the Province.
- Click Search.
- Click Add to my list next to the provider you want.
- No invitation is sent: their account already exists. Message: “Added to your list: you can send them requests from your mandates.”
- The average rating is only shown from 3 reviews.
Ordering a service
A request is made from a mandate: Properties and mandates › Mandates, open the mandate, then its Summary, Service providers card. Any team member can send a request.
- In New request, choose the Trade: EPC assessor, Electrical inspection, Surveyor, Land surveyor, Notary or Photographer.
- Choose the Service provider.
- If needed, write a Message to the provider (optional).
- Tick The seller agrees that their address and contact details are passed on to this provider for this job.
- Click Send the request.
What happens next:
- “Request sent.”; the request appears in the list with the Sent badge;
- the provider receives an e-mail;
- the seller's consent is kept: who ticked it and when.
What the provider receives, depending on their trade:
| Trade | Data passed on |
|---|---|
| Photographer | the property's address and the seller's contact details |
| EPC assessor, Electrical inspection, Surveyor | as well: the type of property, the living area, the year of construction |
| Land surveyor | as well: the type of property, the plot area, the cadastral details |
| Notary | as well: the type of property, the cadastral details |
They never receive the price or your fees.
- Only trades done by an active provider in the list are offered. Otherwise: “No provider in your list does this trade. Add one in Settings → Service providers.”
- An ended mandate no longer allows requests: “This mandate has ended.”
Following the request and the quote
Each request shows “{métier} — {prestataire}”, the date sent and its status:
| Badge | What it means |
|---|---|
| Sent | the provider has not replied yet |
| Accepted | the provider accepts the job |
| Declined | the provider declines; their reason is shown |
| Quote received | a quote is waiting for your decision |
| Quote accepted / Quote declined | you have decided |
| Cancelled | you have cancelled the request |
You are notified by e-mail when the provider accepts, declines or sends a quote.
Accepting or declining a quote

- Click Accept the quote or Decline.
- Accepted: “Quote accepted: the provider is notified.” Declined: “Quote declined.” The provider receives an e-mail in both cases.
- As long as no quote has been accepted, the provider can send a new one, which replaces the previous one.
- A quote has an amount excluding VAT of more than €0 and at most €1,000,000, VAT of 0, 6, 12 or 21%, and a lead time of 0 to 365 days.
Cancelling a request
- Click Cancel.
- In the “Cancel this request?” window, click Cancel to confirm, or Keep.
The provider is notified by e-mail.
