Private sellers
Receive valuation requests from private individuals, turn them into a mandate in one click, and offer your services to nearby sellers who agree to it.
Menu, Customer relations group, Private sellers section. The page is open to the administrator, the manager and the agent. It has two parts.
Valuation requests received
These sellers chose you themselves, from their space on the portal. Each line gives the date (Received on), the Seller (name, email, phone), the Property and their Message.
When a request arrives, without any action on your part:
- the seller becomes a contact of the agency, with the Owner role (or is found by their email address if they already exist);
- an opportunity is created in the Sellers pipeline, in New, with the origin “Valuation request” and their message in the notes, unless they already have an open one (see The pipeline);
- a task is created for the next day, assigned to an administrator of the agency (failing that, to a manager, then to an agent).
Creating the mandate
- On the request's line, click Create the mandate.
What happens next:
- a mandate is created as a draft, with you as agent and this contact as seller;
- the property fields are copied from the seller's file (address, type, areas, rooms, heating, insulation, outdoor spaces, condition, description…), as well as the price and the energy performance certificate (EPC, called PEB in Wallonia and Brussels) if there is one;
- the message “The mandate has been created, as a draft, with the seller's file.” is shown and the mandate opens.
The button then becomes Open the mandate: a second click does not create a second mandate. What comes next is described in Creating a mandate.
Sellers who agree to be contacted
This part lists the online listings of private individuals who, at this moment, agree that an agency may offer them its services, within 30 km of your agency's postcode, from nearest to furthest.
You see the photo, the type or title of the property, the town, the distance and the price. You never see the seller's name or email address.
Offering your services
- On the listing, click Offer my services.
- Reread and adapt Your message (already filled in; 20 to 2,000 characters).
- Click Send. Message: “Your message has been sent.”
What happens next:
- ImmoBooking sends the seller an email with your message and your professional details: agency name, town, phone, email and IPI number;
- the email is not sent if the seller has withdrawn their agreement in the meantime;
- the listing then carries the “Already contacted” badge;
- if the seller wishes to reply, they send you a valuation request, which arrives in the first part of the page.
The limits
| Rule | Message shown |
|---|---|
| A single approach per agency and per seller | “You have already contacted this seller.” |
| 3 agencies at most per seller, approaches and valuation requests combined | “This seller is already in contact with the maximum number of agencies.” |
| 2 agency approaches at most per seller over 7 days | “This seller has received enough approaches this week. Try again later.” |
| Agreement withdrawn or listing no longer online | “This seller no longer agrees to be contacted, or their listing is no longer online.” |
