The pipeline

Follow buyers and sellers stage by stage, create and move opportunities, enter an offer and set up the stages.

Menu, Customer relations group, Pipeline section. Two tabs: Buyers and Sellers. The whole team sees all the agency's opportunities, whoever their owner.

The columns

PipelineOriginal stages
BuyersApplication, Viewing, Offer, Sale agreement, Deed (won), Lost (lost)
SellersNew, Contacted, Valuation visit, Mandate signed (won), Lost (lost)
  • Each column shows the number of opportunities and their total value: the price of the target property, or failing that the budget entered.
  • The won and lost columns only show the opportunities that entered the stage within the last 60 days.
  • A card shows the contact, the property, the amount, the origin and the date it entered the stage. An opportunity that came from an ImmoPass carries the “ImmoPass · …/100” badge (see ImmoPass and ImmoScore).

Where opportunities come from

The pipeline also fills itself. Automations never move an opportunity backwards and never touch a closed opportunity.

  • A contact request from the portal, an application or a call from another tool through the API creates the opportunity in Application, or moves forward the existing one.
  • A booked viewing moves it to Viewing.
  • An offer entered moves it to Offer.
  • A valuation request from a seller creates a seller opportunity in New, unless they already have an open one.
  • The same contact never has two open buyer opportunities on the same property.

Creating an opportunity

  1. Click New opportunity.
  2. Type a name or an email, then click Search (or press Enter).
  3. Choose the contact from the results. If it does not exist: “No contact found: create it first in Contacts.”
  4. For a buyer, choose if needed the Target property (optional), from the agency's published listings.
  5. Click Create.

The opportunity enters the first in-progress stage, with the origin “Added by hand” and you as owner. Message: “Opportunity created.”

Moving an opportunity

Drag the card to another column, or use the card's Move to… menu. Message: “Opportunity moved.”

  • To a lost stage: the “Why is this opportunity lost?” window opens. Fill in the Reason, then click Mark as lost.
  • To Sale agreement, for a buyer on a property: if other buyers are still in progress on this property, the “Close the other opportunities on this property?” window opens. Mark as « Lost » closes them with the reason “Property under sale agreement”; Keep in progress changes nothing.

Each move is noted in the contact's history and feeds the Dashboard.

An opportunity's details

Click a card: a panel opens at the side.

  • Read only: Stage, Contact, Target property, Origin, ImmoPass, Owner, Reason lost.
  • Editable: Budget (€), Financing (Own funds, Loan approved, Loan in progress, To be determined) and Notes. Click Save.

The owner and the target property cannot be changed from this panel.

Entering an offer

For a buyer whose property has a signed mandate:

  1. In the panel, click Enter an offer.
  2. Fill in Amount (€), Received on (today by default), if needed Valid until and Conditions.
  3. Click Pass on to the seller.

What happens next:

  • the offer is recorded on the mandate and sent to the seller by email;
  • the opportunity moves to Offer;
  • the list of offers shows “being sent”, then “passed on on …”, and “receipt confirmed on …” once the seller has confirmed it.

Without a signed mandate on the property, the panel shows “No signed mandate on this property: an offer cannot be passed on to the seller.”

Setting up the stages

The Set up stages link only appears with the “Work settings” right (see The team, roles and rights).

  1. On the Pipeline page, click Set up stages.
  2. In the Buyers or Sellers card, for each stage: change the Name, the Outcome (In progress, Won, Lost), the order with Move up and Move down, or Remove.
  3. Add a stage creates an in-progress stage, placed before the first closed stage.
  4. Click Save. Message: “Stages saved.”
