Signing and registering the lease

Have the lease signed online or record a signature on paper, then record the registration and the rental deposit.

These cards are on the lease record: Properties and mandates › Leases, then click the lease.

Before sending for signature

The Send for signature button, in the Signature card, only becomes active if:

  • nothing is missing from the lease any more (otherwise “First complete what is missing.”);
  • the document to sign is ready (otherwise “First generate the document to sign.”);
  • each party has an e-mail address on their record (otherwise “Each party needs an email address.”);
  • in Brussels, the handover of the pre-contractual information has been recorded (otherwise “First hand the pre-contractual information to the tenant (Brussels).”).
Message shownWhat it means
“Electronic signature is not configured.”Online signature is not available for now.
“Our text has not yet been approved by a lawyer: no real signature.”A lease generated by ImmoBooking cannot be signed for real until our texts have been validated. Upload your own lease.
“Demonstration signature: nothing is legally binding.”You are on a demonstration environment: the signature binds no one.

Electronic signature

  1. Click Send for signature.
  2. Wait for “The parties are signing, in order.” (during preparation: “Preparing with the provider…”).
  3. For each signatory, copy their Sign link and pass it on to them yourself.

The card lists the signatories: name, role, e-mail address and status (Pending, Signed, Declined or Error).

  • The order is fixed: all the landlords, then all the tenants, in the order of the parties.
  • A signatory's link only exists once the previous one has signed. Until then, the card shows “Link after the previous signature”. The next link arrives at the check run every 15 minutes; click Refresh links to fetch it straight away.
  • In shared housing in Brussels or Wallonia (generated lease), each tenant also signs the shared housing pact.
  • A generated lease changed since its PDF is not sent: generate it again first.

During signing:

  • Back to draft cancels the request with the provider; the lease becomes Draft again and can be changed again;
  • if it fails (“Sending failed: {erreur}”), click Send for signature again.

What happens when everyone has signed:

  • the lease becomes Signed: “Lease signed on {date}.”;
  • the Signed lease (PDF) and Proof of signature links appear;
  • the lease reminders are added to the tasks of the agent in charge of the mandate (registration, deposit, move-in inventory…);
  • the cards for the life of the lease appear: inventories, rents, indexation, notices, move-out, registration.

The signature is picked up as soon as the provider reports it, and at the latest at the check run every 15 minutes. A request abandoned at the provider puts the lease back to Draft.

A lease already signed on paper

For an uploaded lease only.

  1. In Signature, click Already signed on paper.
  2. Fill in the Signature date (not in the future).
  3. Click Record the signature.
  • You need the uploaded PDF, a complete lease and, in Brussels, the handover of the pre-contractual information recorded.
  • The uploaded PDF becomes the signed lease: “Lease signed on paper on {date}.”. Reminders are added as for an online signature.

Registration

The Registration card appears once the lease is signed.

  • Deadline: “To be registered by {date} at the latest (two months after signing, next working day).”. An Overdue badge is shown once the date has passed.
  • Where: MyRent or the Registration office everywhere; Irisrent as well in Brussels.

The deadline is the day of signing plus two months. If that day falls on a Saturday, a Sunday or a Belgian public holiday, it moves to the next working day. For example: signed on 15/10, to be registered by 15/12 at the latest.

The card reminds you what an unregistered lease costs:

RegionAs long as the lease is not registered
Brusselsthe tenant can leave without notice or compensation; the rent cannot be indexed
Walloniathe tenant can leave without notice or compensation if their formal notice has had no effect for one month (main residence); the rent cannot be indexed; late fees are borne by the landlord
Flandersthe tenant can leave without notice

Recording the registration

  1. Choose Where: MyRent, Registration office or Irisrent (Brussels only).
  2. Fill in Registered on and, if you have it, Reference (optional).

  4. Click Upload the proof and choose the PDF or photo (20 MB at most).
  • The date can be neither in the future nor before the signature (“The date is before the signature.”).
  • Recording the same channel again corrects the entry.
  • Replace the proof uploads a new proof. Proofs are filed in the property's documents.
  • Once everything is done: “The lease is registered everywhere the region requires.”. The “Register the lease” reminder closes.

The rental deposit

The Rental deposit card records how the tenant has provided their deposit.
